Commission Minutes-January 5,2009 3461

6. VETERAN'S SERVICE, BudQet adiustment for laptop computer approved
Jim Brent, Veteran's Service Officer, was present. This week the Veteran's Service Office is
moving to their new location at the Courthouse on the third floor. Mr. Brent is asking the
commission to approve the purchase of a laptop computer and filing cabinets.

Mr. Brent said due to limited space in each office, he would like to purchase a laptop
computer to use in the meeting room for large groups of clients. The cost is $1,700
according to the Information Technology (IT) Department. Mr. Vanyo asked if the laptop
would replace the employee's desktop computer. Terry Schmaltz, IT Director, said the
laptop would be used exclusively in the meeting room. Mr. Schmaltz said the meeting room
does not have space for a desktop and a laptop is more accessible.

Mr. Brent said currently all staff has open case files in their offices for ready access. Two of
the offices in the new location do not have adequate file storage for open cases and he is
requesting to purchase a five-level filing system at a cost of $1 ,688.58.

Mr. Pawluk and Mr. Wagner asked about the location of open case files if they are not
stored in each office. Mr. Brent said they would be stored in their file room across the hall;
however, in their location at the Annex, only closed cases are stored in the file room. Mr.
Bennett said open case files located in each office allow clients to receive immediate
attention to their claims, and he believes the request for additional filing cabinets is
legitimate. Mr. Bennett is willing to use part of his travel budget to cover the expenses.
MOTION, failed
Mr. Bennett moved to use $1,688.58 from the Commission District #2
travel line item to pay for filing cabinets for the Veteran's Service Office.
Motion failed for lack of a second.

MOTION, passed
Mr. Pawluk moved and Mr. Vanyo seconded to adjust the 2009 computer
equipment line item budget for Veteran's Services in the amount of
$1,700 for purchase of a laptop computer.
