<br />Building Committee-August 20, 2008 3 <br /> <br />paperless court, but this process will not be completed for another four or five years. <br />Mr. Montplaisir said his office as well as several other county offices also use Record <br />Keepers and pay a monthly fee for their services. <br /> <br />Mr. Montplaisir said the 2009 budget includes funds to install a rolling file system in <br />Treasurer's vault, which will allow marriage licenses to be moved from the second <br />floor. He asked Mr. Olson if they have considered a different filing system for this <br />location. Mr. Olson said rolling file systems work well, but are expensive and weight <br />restrictions may be an issue. <br /> <br />5. COURTHOUSE THIRD FLOOR, Re-use plan and cost estimates discussed; <br />recommendation to be forwarded to county commission <br />Re-use plan <br />The re-use plan for the Courthouse third floor includes space to relocate the State's <br />Attorney and Veterans Service Offices, as well as file storage for the Clerk of Court. <br /> <br />Mr. Burdick asked how long the Clerk of Court would use the space on third floor. <br />Mr. Kimme said considering the process involved with a new building addition, a <br />three-year time frame was intended for the re-use plan. Mr. Burdick said if, in the <br />future, their office hires an additional file clerk, the space could be used for their filing <br />system; however, he is less concerned about the Clerk using the space considering <br />the three-year time period. <br /> <br />Cost estimates <br />Mrs. Johnson received estimates from Christianson's Business Furniture and <br />Business Essentials to fit up the space on third floor. She said since the intention for <br />the space is temporary and not a total remodel, she received information on the cost <br />for temporary walls and work stations. <br /> <br />Christianson's Business Furniture provided two options: 1) moveable walls by <br />LifeSPACE at a cost of $48,250 and installation costs of $7,800; and 2) panel walls <br />at a cost of $28,274. In addition, work stations would need to be installed at a cost of <br />$6,954. Stan Hagen from Christianson's was present and said the moveable walls <br />would take two to three days to install. Mr. Kimme said acoustics may be a concern <br />in the Victim Witness area with the moveable wall system. Mr. Hagen said wall-to- <br />wall the acoustic properties of the LifeSPACE system are the same as regular walls; <br />the only issue may be at the ceiling, which could be insulated. <br /> <br />Business Essential's estimate included panel walls at a cost of $38,745 plus $12,000 <br />in installation fees. <br /> <br />The meeting was interrupted by a Courthouse fire alarm at 4:35 PM and the board <br />reconvened at 5:00 PM. <br /> <br />There was discussion about the costs and what fund will be used to pay the <br />expenses. Mr. Montplaisir said the building fund may be used. Also, the State's <br />Attorney budget for this year includes $30,000 for third floor re-use costs. Mr. <br />Burdick said a small portion of the money will be used for new office furniture, but the <br />remainder may be used for this purpose. <br />
