Minutes--January 19, 1993 988 <br /> <br />23. <br /> <br />24. <br /> <br />25. <br /> <br />RECORDS STORAGE, Survey report by County Auditor <br />County Auditor Michael Montplaisir recently surveyed courthouse <br />storage areas and he recommended action as follows: MOTION, passed <br /> Mr. Eckert moved and Mr. Risher seconded to: 1) request the <br /> following information from each department located in the <br /> courthouse, jail or juvenile justice center by April 1, <br /> 1993: a) locations where they presently store records or <br /> equipment, b) what types of records or equipment they <br /> currently store (tax lists, steno notes, case files, broken <br /> televisions, etc), c) length of time each type of records <br /> or equipment must be kept, including the statutory <br /> guidelines for keeping records, d) the amount of or types <br /> of records that could be either destroyed or microfilmed, <br /> e) an estimate of space requirements for their storage <br /> needs, given that they keep only what they are required, <br /> f) a description of the physical system that would allow <br /> the department to make the most efficient use of their <br /> storage space (shelving units such as we have in the north <br /> basement, rolling files, file cabinets, etc.); 2) have <br /> each department establish a "SPRING CLEANUP DAY" by May 1, <br /> 1993. The "SPRING CLEANUP DAY" must be coordinated with <br /> the County Coordinator if the maintenance staff is to do <br /> any hauling for the department; 3) require each department <br /> to consider their storage problems in preparing their 1994 <br /> budgets in respect to microfilming or other storage <br /> devices. On roll call vote, motion carried unanimously. <br /> <br />JOINT DISPATCH, Progress report/time line <br />Mr. Wieland continues to be chairman of the Joint Dispatch Council, <br />and he said the group will attempt to prioritize planning stages of <br />the contract with the idea of having something finalized for each <br />entity to present to their respective boards at their next budget <br />session. A joint dispatch center could be operational January 1, <br />1994, he said. <br /> <br />Mr. Risher said planning departments of each entity have been <br />contacted about possible sites for a joint center. <br /> <br />COMMITTEE REPORTS <br />Mr. Wieland suggested asking Bonnie Johnson to draft a proposed policy <br />by the second meeting in February, or the first meeting in March if <br />more time is needed, regarding paid/unpaid leave of absence for county <br />employees. <br /> <br />Mr. Risher reported that about $80,000 was spent last year for office <br />supplies, and he suggested a goal of 10% savings for next year. <br /> <br />Mr. Risher asked if the county commission can offer monetary rewards <br />to county employees who offer cost-saving ideas which can be <br />implemented in county government, and he plans to ask the State's <br />Attorney this question. <br /> <br /> <br />
