This will result in a savings of approximately
$260.00 per month. However in FY2005 if it is decided to go
ahead with my proposal to perform the necessary upgrade to our
phone equipment, a new contract will be written in its place to
cover maintenance from that point forward. It is not expected the
contract will be much different since the maintenance contracts
are calculated on how many ports are available for use, which
we intend to not change significantly. I wantto make you aware
that you may seen another contract renewal in FY2005 for the
same equipment.

Over the last 6-months I have researched and reviewed
several aspect of our telecommunications costs and have found
several discrepancies in duplication of services. The renewal of
contracts with Owest and Avaya, consolidation of phone bills,
and the disconnection of several phones lines that were not
needed, resulted in a substantial savings in monthly charges.
The renewal contract with Owest was due in part to competitive
vendors and new available technologies in telcom systems since
the last contract was implemented.

This is a breakdown of costs saved so far:
Owest Contract renewal $1,750/mo
Avaya Contract renewal $ 260/mo
Disconnected phone lines $ 410/mo

Total monthly Cost Savings $2,420/mo

Estimated savings for FY/2004 $16,780.

Terry chmaltz
IT Manager
