M E M O TO: County Commissioners <br />FROM: Robert W. Wilson DATE: June 2, 2022 <br /> SUBJECT: Extension Office Upgrade <br /> The 2022 Budget includes an update of the Extension Office space in the Annex Building. The budget includes $60,000 for updated office furniture and $5,000 to refresh the office painting and lighting. These funds are within the Annex General Maintenance line item – which also includes a hallway lighting project. The budgeted amount is $185,000 – with an unincumbered <br />balance of $136,011.09 as of June 2nd. The budget estimate for this project was developed nearly a year ago when pricing and overall economic volatility was not what it is today. Buildings and Grounds Supervisor Gene Gartner requested and received two quotes for the office furniture portion of this project. InterOffice- $112,510.22 and <br />Christiansons- $112,842.14. I have reviewed these costs with Mr. Gartner, Ms. Ussatis, Commission Breitling, Chair Steen and the Finance Office. Ms. Ussatis has also review her budget and identified a variety of additional funding sources totaling $28,333.98 the Extension Office can contribute to this project. $23,333.98 <br />can come from transfers within the Extension budget and $5,000 will be requested from NDSU. Mr. Gartner and I have reviewed the unincumbered Annex Building budget and believe we can complete all budgeted project with the funds available. <br /> One other item of note- Mr. Gartner and Ms. Ussatis have reviewed both quotes and determined there is a material benefit to the County in selecting the Christiansons proposal despite the higher cost. Specifically, there is a difference in the layout of office entry area. The recommended bidder provided what Ms. Ussatis and her colleagues asked for, the other bidder <br />proposed the closest layout possible based on the product line they stock. For Commission review I have attached both furniture quotes. SUGGESTED MOTION: Authorize the Chair to sign purchase order with Christiansons in the amount of $112,842.14 and approve a budget adjustment from Extension funds to the Annex General Maintenance fund in the amount of $23,333.98. <br /> <br /> <br />County <br />Administrator <br /> <br />Robert W.
