CGU 'llY CC\

DATE:

Novembcr 24, 2006

SUBJECT:

Purchase Order

Dear Commissioners,

The enclosed purchase order is a budgeted request for a backup network data
storage system for the county network.

The system will server as a hot backup site for county data. Currently in normal
operation, to restore information that had been deleted or in some way corrupted requires
restoration from backup tapes. In some cases this could take a considerable amount of
time to restore since the tape would have to be recovered from offsite storage. With this
system, restoration of deletcd files could be done almost instantly.

The current backup method consists of data backups that are performcd nightly to
magnetic tapes. The problem with tape backups is it places a significant load on server
resources and cannot be done during nomlal business hours. In the event lost or
corrupted data, the data from the previous night's backup would have to be rcstored.
This has the potential of a day's worth of information and work being lost.

The system we plan to implement follows industry best practices for backup of
data. The backup method is considered disk-to-disk-to-tape meaning data is being
backed up almost on a continuous basis rather than only once a day to the backup site,
and secondary backup to tape is done after hours for archival purposes.

The backup system would be located at the County Jail, separate from the
Courthouse data center. In the event of a disaster, data would be more readily available.

SUGGESTED MOTION:
Move to authorize the chair to sign a purchase orders tor the Information Technology
Department in the amount of $37,067.00.

..-,
( j
-:'~.;:.'~-
Terry Schmaltz ..

"""""',~";,;-.c,,,,'.""'."'_' ~ 1^1 .,......,.,_.'..."..-_,-~
